What does a fully managed coffee service include?

A fully managed coffee service includes the equipment, specialty beans, milk and consumables, installation, cleaning, preventative maintenance, fault response and usage reporting, supplied by one partner under one agreement, with one monthly invoice.

With Ventra, the machine is monitored remotely by telemetry, replenishment is scheduled from actual consumption, and maintenance happens on our initiative. Day to day, your team's part is a daily clean and occasional top-ups; everything else is ours. The full service anatomy sets out all six parts.

How does pricing work for a managed coffee service?

Ventra pricing has two parts: a fixed per-site base fee covering equipment, service and management, plus a consumption component that scales with the cups actually poured. The structure is tailored to each institution and presented in full before anything is signed.

We don't publish rate cards because no two campuses have the same population, calendar or site count. A model built on your real numbers is more useful than a headline price built on averages. Request a tailored proposal and we'll build one for your sites.

What equipment does Ventra use?

Ventra installs Franke superautomatic machines, commercial-grade Swiss engineering with over a century of heritage, sized to each site's measured daily volume, with commercial water filtration and telemetry fitted to every unit.

Superautomatic means barista-quality espresso and milk drinks at the touch of a button: no training, no staffing, consistent output all day. Machine capacity is matched to your population so you're never paying for headroom you don't use.

Where does the coffee come from?

Our Beans come fresh from Pablo & Rusty's, an Australian specialty roaster certified as a B Corporation with an Impact Score of 97.1, nearly double the industry median. They are 1% for the Planet certified and Australia's first coffee roaster certified as a Carbon Neutral Organisation. The roast profile is selected for your machine and volume, and the grind and recipe are dialled in on site.

Milk and alternative milks, cups, lids and cleaning consumables are all part of the managed supply, replenished on schedule, before anything runs out.

What happens when a machine needs service?

Usually, we know before you do. Every Ventra machine reports faults and usage remotely, so service is triggered by telemetry rather than by a complaint, and preventative maintenance is scheduled into your calendar's quiet weeks.

When a fault does occur, the response is ours to coordinate end to end. Nobody on your staff logs tickets, chases technicians or manages a warranty claim.

Does the service account for the academic calendar?

Yes. It's designed around it. Volume forecasts are built on teaching weeks rather than flat monthly averages, maintenance is scheduled into breaks, and reporting shows consumption against the forecast so budgets hold no surprises.

Does coffee actually matter to student experience and retention?

More than most people expect. Research consistently links a strong sense of belonging and everyday campus experience to better retention outcomes. Coffee is one of the most visible, most repeated rituals on any campus - the conversation before a lecture, the break between assignments, the small comfort that makes a place feel like somewhere you belong.

We're not claiming coffee solves retention on its own. But it's a genuine, low-cost signal that an institution invests in the everyday experience of its people, and one of the few such signals you can put in place in weeks, not years.

Can students choose how they pay, or is that up to the institution?

It's entirely your call. Ventra coffee can run free, blended (a mix of free and paid access), or fully paid, whatever suits your budget and your community. Where paid consumption is part of the mix, the revenue generated can be used to offset your program's cost, often significantly.

Most institutions land somewhere in the middle. We'll model the right structure for your population during the discovery meeting.

This is about students. What about staff?

Just as much. Staff experience is retention too, just measured differently: engagement, tenure, the everyday sense that a workplace cares about its people. The same machine, the same beans, the same reliability serves your staffroom exactly as it serves student common areas.

Many of our sites don't distinguish between the two at all - one machine, one standard, open to everyone on campus.

We already have a coffee provider or a café on site. Can Ventra still work for us?

Often, yes - ask us directly rather than assuming either way. Ventra is frequently the upgrade for a tired self-serve machine or an underperforming vending contract, not a replacement for a thriving café. The two can coexist: a staffed café for the sit-down experience, Ventra for fast, consistent, always-on access elsewhere on campus.

How long does it take to get up and running?

Typically a matter of weeks from signed agreement to first cup, not months. Installation, telemetry setup and staff handover are ours to manage end to end - your team's involvement is minimal.

Exact timing depends on site access, plumbing and electrical readiness. We'll give you a firm date during the proposal, not a vague estimate.
