How it works
The managed model, end to end.
The whole service, in order, written to be forwarded. Print it, attach it, table it at the next facilities meeting.
Service anatomy
Six parts, one agreement.
- 01 · Scope and design
-
Every engagement starts with your site, not our brochure. We survey the space, model daily cup volumes against your population and calendar, and size equipment to real demand.
- Site survey: power, water, placement, traffic flow
- Volume modelling against your population and operating calendar
- Machine sizing matched to measured demand - no over-speccing
- Full commercial model presented before anything is signed
- 02 · Install and commission
-
Installation is ours from delivery to first cup. You sign off on a working service.
- Delivery and placement, coordinated with your facilities team
- Plumbing and commercial water filtration
- Commissioning and safety checks
- Grind and recipe dial-in with our roasting partner
- 03 · Beans and consumables
-
Specialty beans from Australian roaster Pablo & Rusty's, a certified B Corp with responsible sourcing through its supply chain. Milk, cups and consumables are managed on schedule, replenished before they run out, not after.
- Specialty roast profile selected for your machine and volume
- Responsibly sourced through a certified B Corp roasting partner
- Scheduled replenishment driven by actual consumption data
- Milk, cups, lids and cleaning consumables included in the service
- 04 · Servicing and Maintenance
-
Preventative maintenance is scheduled by Ventra, not requested by you. Day to day, a nominated coffee champion on your campus runs the machine's daily clean and keeps beans and water topped up between deliveries. We train them, and it takes minutes. We're open about this: those small daily tasks are part of how the service stays downtime-free and the coffee stays at its best.
- Semi-automated daily cleaning cycle, run by your campus coffee champion
- Bean and water top-ups between scheduled deliveries, with our support
- Scheduled preventative servicing
- Fault response coordinated by Ventra with our technician network
- 05 · Telemetry and reporting
-
Every machine reports in. We watch volumes, faults and maintenance windows remotely, which is how problems get fixed before they become downtime.
- Remote monitoring of every installed machine
- Monthly volume-versus-forecast reporting to your nominated contact
- No surprises at renewal: you see the same data we do
- 06 · One agreement, one invoice
-
The commercial structure is tailored to your institution. One agreement covers equipment, beans, service and reporting; one monthly invoice covers everything.
- Clear, transparent commercial terms and invoicing
- Term and structure negotiated per institution - not a fixed template
- Standard 30-day invoice terms
What this replaces
We close the loop. Your team presses one button.
In an unmanaged setup, every step of the loop (noticing, reporting, ordering, chasing) runs through your staff. Under Ventra, the loop runs through telemetry and scheduled service. What stays on campus is deliberately light: a daily clean and occasional top-ups by your coffee champion, keeping quality at its best between our visits.
